How to Host a Movie Night Fundraiser | Checklist for a smooth event
A school movie night is a great option for a fundraising event. It creates a social, family-friendly event where kids can relax with their friends, parents can meet, and your school community can get to know each other.
What is a Movie Night Fundraising event?
A movie night fundraising event at your school is an opportunity for your PTA, or PTO, to raise funds while families and teachers can connect and have fun.
The children get excited about the movie and seeing friends outside of school and parents get to meet and connect with school leaders and faculty.
Our PTA invited everyone to come watch the movie for free, and we offered concessions to raise money.
How To Host a Movie Night Fundraiser At Your School.
After helping with our own PTA movie event night, I realized how many small details go into making it run smoothly. So, I created this simple guide to help your PTA plan one from start to finish.

HERE’S EVERYTHING YOU NEED TO ORGANIZE A SUCCESSFUL, STRESS-FREE MOVIE NIGHT FOR YOUR SCHOOL.
PLANNING
CHOOSE YOUR DATE AND TIME
You will want to discuss, with your board and school leaders, dates and times you are considering for this event. You will need to consider testing weeks, school holidays, and after-school activities that may conflict with the event.
Check with your school leaders if they have any advice on which nights are better for after-school activities and participation in the past. This insight could help your event.
You will want to confirm dates and times, so no scheduling conflicts come up. Once confirmed on a date and event time, book early so the new event gets booked, for example, like the chess club gets booked in the same space you wanted to use.

CHOOSE YOUR MOVIE
Important Tip:
You will need a license to be able to play a movie at your school. You will have to find a license company online and pay to play the movie for the mvoie night function. $$
Are you planning a movie night at a high school, middle school, or elementary school? This will make the difference in movie choice.
If you would like to make it exciting for the children, you can have them vote for a movie to watch. This will require more organization through the teachers or social media, if you have them set up already, so probably easier to have the board pick the movie.
You can choose to use a theme to make it fun and inviting. You can choose to theme the event for the season, like a summer vacation movie or for the winter holiday season, like The Grinch or Christmas carol.
SECURE THE SPACE
Important Tip: Our school required us to rent the space and pay the fee before the event night, so please plan and confirm dates in advance and be prepared to pay your fee. $$
You will need to decide where and when specifically, so when your team has a date and time in mind you must check with the school to confirm that the auditorium or cafeteria, or outdoor pavilion will be available.
Will you have students and families set up in the cafeteria, sitting on the lunch tables, or setting up blankets outside? Will you be able to access the area earlier then event time to set up or is space limited?
EQUIPMENT NEEDS
When you secure the space, confirm if the school has a projector, and you will be able to use it. Unless one of the board members has a projector, you will likely need to use the school’s projection equipment. This is something you should discuss with your school leadership up front.
Will you be using the projector on a screen or on a wall?
How will you set up the projector if you’re not using the school’s projector? Do you have speakers, electrical cords, a way to upload a movie or stream it to the projector?
Can you test it out a day or two before the event so you are prepared if it doesn’t work? Your team may need to learn how to set up and/or play the equipment.
Have a backup plan in case of technical issues.
Will you be using other equipment – coolers for drinks, concession machines like cotton candy, popcorn maker or an icy machine? Where can you plug these in and serve?

CONCESSIONS & SNACKS
What will you be offering- Popcorn, cotton candy, hot cocoa, water, or juice, and soda? You will want to plan ahead on what you will be offering, if any. Will you be serving pizza or grilling hot dogs?
Budget and order ahead of time for your concessions, snacks and drinks and paper goods like plates, straws, and napkins.
We used a popcorn machine and sold bags of popcorn. It was easy and affordable for everyone to get some popcorn and raise money.
Try to offer allergy-friendly and gluten-free options
You will want to decide on price points, and you will want to get with the treasurer involved because you will have to order and pay for concessions up front.

For cash payments, keep a cash bag around or a lock box.
VOLUNTEERS & ROLES
Once the date and time are planned, next set up sign-ups for volunteers, and set up crew stations so it’s easier to assign roles to the group.
Plan out how many are needed. Give enough notice for volunteers to sign up
Concessions table- take orders, take payments, give out foo
Door greeters- direct parents and students to the concession stands and movie area. Direct to bathrooms, open the front door if it automatically locks, and answer questions about the event.
Assign clean-up crew to break down concessions, clean up tables, and place seats and tables back. Place extra items left over in the PTA storage closet. You will have something left over likely.
Technical support- will the school attendant be helping with the school projector or will a volunteer be sharing their projector, and will they set up the whole show?
PROMOTIONS AND FLYERS
You want to spread the word in advance, use paper flyers or school email or classroom apps.
What details to include: time, movie name, cost, what to bring, etc.

DAY OF TIMELINE
A clear day-of timeline helps your PTA team stay organized, reduce stress, and make sure nothing is forgotten once families start arriving.
You can adjust the timing based on your event start time and how early the school allows you to access the space.
2–3 Hours Before the Event
Setup & equipment check
- Access the space and unlock doors as needed
- Set up the projector, screen, and speakers
- Test the movie, sound, and lighting
- Set up seating area (tables, chairs, or floor seating for blankets)
- Set up concession tables and machines
- Plug in all equipment and confirm extension cords are safely placed
- Place trash cans and recycling bins around the room
Important Tip: Always test the movie before families arrive so you have time to troubleshoot any technical issues.
60–90 Minutes Before
Concessions & volunteer prep
- Begin popping popcorn or prepping concession items
- Set up pricing signs and menus
- Prepare cash box, tickets, or QR payment signage
- Volunteers arrive and check in
- Assign volunteers to their stations
- Review basic flow of the night with volunteers
30 Minutes Before
Final walkthrough
- Door greeters take their positions
- Concessions open (if you choose to open early)
- Confirm bathrooms are unlocked and accessible
- Adjust lighting for safety and visibility
Event Start Time
Welcome & Movie Start
- Greet families as they arrive
- Direct guests to seating and concession areas
- Make a short welcome announcement (optional):
- Thank families for coming
- Share where proceeds are going
- Go over basic movie night expectations
Start the movie once most families are settled.
During the Movie
Monitor & support
- Volunteers rotate breaks if needed
- Keep concessions stocked
- Monitor volume and visuals
- Assist families as needed
After the Movie
Clean-up & wrap-up
- Turn off and pack up equipment
- Break down concession tables and machines
- Collect trash and leftover items
- Return tables and chairs to original setup
- Store leftover supplies in PTA storage
- Lock doors and confirm space is left clean
End-of-Night Tip
Assign a lead person to do a final walkthrough of the space before leaving to ensure nothing is forgotten and school requirements are met.
Final Thoughts
A school movie night fundraiser doesn’t have to be perfect to be successful.
With a little planning, a clear checklist, and a supportive team, you can create a fun, welcoming event that brings families together while raising funds for your school.
Don’t forget to keep it simple, and remember that kids don’t notice perfection — they remember how it felt to be there with their friends, and the parents will see that your team is making events like this possible on your school campus.
